When checking for a conference quote it would be wise to check for all the hidden details.
Minimum Numbers and Room Hire
Most conference quotes are based on a minimum number of delegates attending. Find out the minimum number required for your event and check if there is a room hire charge should the numbers attending fall below the minimum required on the day. This can cost in excess of £300.
What the Day Delegate Rate Covers
Day delegate rates cover the room, the catering provided for the course of the day and the lunch but then check if for example the use of projection equipment, screens and flip charts are going to cost extra on top of the overall day delegate rate and add to the overall cost per head.
Cancellation and Attrition Clauses
Check what percentage of the total cost is needed to be paid at each stage of cancellation. Often conference centres include an ‘attrition clause’ within the terms and conditions of booking – this means that the client will be charged for any ‘no shows’ on the day.
VAT and Extras
VAT and Extras – Most conference quotes are exclusive of VAT, so just confirm what line items will be subject to it. Also check if car parking is going to be charged for – whilst at a Tewkesbury hotel conference venue car parking is usually free of charge, it’s not always included by default. For Tewkesbury Hotel Conference Rooms, see https://tewkesburypark.co.uk/hotel-conference-rooms/.
Check the quote line by line and you will have a much clearer picture of what the costs for the day will be.
